Privacy Policy
How Jexi handles personal information, customer content, AI workflows, and connected tools.
This Privacy Policy explains what Jexi collects, why we process it, when we share it, and how people can contact us about privacy rights. It applies to our public website, pilot forms, communications, and the Jexi service unless a signed customer agreement says otherwise.
Who this policy covers
Jexi is a business service for AI-assisted customer support, multilingual replies, customer memory, and operational workflows. Customers may use Jexi with their own employees, agents, contractors, and end users.
For business contact data, website data, billing data, support communications, security logs, and product administration, Jexi generally acts as an independent controller. For customer workspace content and end-user data that a customer submits to Jexi, Jexi generally acts as a processor or service provider on behalf of that customer.
Information we collect
- Account and business contact information, such as name, work email, company, role, login details, pilot request details, and support communications.
- Customer workspace content, such as support tickets, chat messages, email threads, drafts, translations, knowledge-base material, brand voice examples, domain or hosting context, workflow instructions, and audit logs.
- Integration data that customers choose to connect, such as Gmail, helpdesk, CRM, billing, registrar, hosting, domain, or internal system data needed for configured workflows.
- Usage and technical data, such as IP address, browser type, device details, pages viewed, product events, timestamps, diagnostics, security signals, and error logs.
- Commercial and administrative information, such as plan details, invoices, payment status, procurement records, legal notices, and vendor review materials.
How we use information
- To provide, operate, secure, maintain, and support Jexi.
- To process messages, create drafts, translate content, summarize conversations, maintain customer context, and run customer-approved workflows.
- To connect and operate customer-selected integrations according to permissions and workflow settings.
- To prevent abuse, investigate security events, debug errors, enforce agreements, and protect customers, end users, and Jexi.
- To communicate about onboarding, support, pilots, service notices, security notices, product updates, and administrative matters.
- To improve reliability, usability, safety, workflow quality, and product performance using telemetry, feedback, and aggregated or de-identified signals where appropriate.
Legal bases and customer instructions
Where privacy laws require a legal basis, Jexi relies on the basis appropriate to the processing, such as providing a contracted service, legitimate business interests, consent, compliance with law, or protection of rights and security.
When Jexi processes customer workspace content as a processor or service provider, we process that content on the customer's documented instructions, including instructions in the product, order form, data processing agreement, support requests, and connected workflow configuration.
AI processing
Jexi uses AI systems to draft support replies, translate messages, summarize conversations, identify context, classify requests, and recommend next actions. AI output may be incomplete, inaccurate, or inappropriate for a particular situation.
Customer content may be sent to AI model providers, infrastructure vendors, and subprocessors only as needed to provide the service, operate integrations, secure the product, or comply with customer instructions and applicable agreements.
Jexi does not use customer workspace content to train general-purpose models unless the customer clearly opts in or a signed agreement expressly permits it. Product telemetry, feedback, and aggregated performance signals may be used to improve the service without exposing customer confidential content.
Sharing information
- Subprocessors and service providers that host, secure, monitor, support, analyze, or power Jexi.
- Customer-selected integrations and third-party systems when needed to perform a customer-configured workflow or action.
- Professional advisers, auditors, insurers, financial providers, and business operations vendors under appropriate confidentiality obligations.
- Authorities, courts, regulators, or third parties when required by law, legal process, safety needs, security obligations, or to protect rights.
- Successor entities in connection with financing, merger, acquisition, reorganization, sale of assets, or similar business transaction.
Retention, export, and deletion
We keep information for as long as needed to provide Jexi, comply with legal obligations, resolve disputes, maintain audit trails, enforce agreements, prevent abuse, and protect security.
Customer workspace retention, export, and deletion are handled according to the product capabilities and applicable customer agreement. Some residual copies may remain for a limited time in backups, security logs, audit records, or legally required records.
Privacy rights
Depending on where a person lives, they may have rights to access, correct, delete, export, restrict, object to, or appeal certain processing of personal information. They may also have a right to complain to a privacy regulator.
Requests can be sent to hello@jexi.com. We may need to verify the request. If the request concerns data inside a customer workspace, we may refer the request to that customer because the customer controls that workspace data.
International transfers
Jexi and its subprocessors may process information in countries other than where it was collected. Where required, we use appropriate transfer mechanisms and contractual safeguards, such as data processing terms, standard contractual clauses, or other lawful transfer bases.
Children and sensitive data
Jexi is designed for business use and is not directed to children. Customers should not submit children's data, special category data, health data, payment card data, government identifiers, or similarly sensitive data unless their agreement and configuration expressly support that processing.
